Office Manager

Job description

We are looking for an Office Manager to join our second-stage rocket ship! 🚀

Based in Brussels, you will have a central position, at the heart of the Cultural and Employee Experience. You will be responsible for creating an amazing workplace environment in our Brussels office (but also for those abroad) by organizing and coordinating different kinds of initiatives and projects. This is an ideal position for an organized, motivated individual who is passionate about working in an international and fast-moving environment. 

You’ll report directly to Guillaume, the Chief Financial Officer.

Your Responsibilities:


  • Make sure AppTweak’s employees are working in the best environment possible by managing all day-to-day activities of our Brussels office (supplier services, office organization, furniture, etc.) and address employees’ requests regarding office management topics.

  • Activate the company culture by participating in internal events organization (workshops, team buildings, bi-yearly company seminars, etc.)

  • Support the organization of business trips by giving clear guidelines and recommendations to employees traveling abroad.

  • Follow initiatives taken by our Carbon Neutral Committee to help AppTweak to reduce its environmental impact.

  • Be the trusted person of all employees


  • Be responsible for maintaining and applying our security policies at the Brussels office.

  • Participate in the onboarding process for new hires, by managing AppTweak assets fleets (Laptops, Phones, Cars, bikes, badges, Keys, network equipment, etc.) and by helping them in their first days at the office.

Legal & Procurement:

  • Manage, keep track, and organize the signature flow of all legal and administrative documents (FISC, Board resolution, Shareholder meeting, etc.)

  • Help AppTweak grow internationally by supporting our CFO in the administrative process of opening new legal entities abroad

  • Follow supplier onboarding, assessment, contracts, and payments


What we expect from you:


  • Bachelor's degree in Executive Assistant or any other relevant field.

  • Good English communication skills (written & verbal)

  • People-oriented: you enjoy working with others.

  • Strong active listening skills, and the ability to interact with a broad set of people in a tailored approach.

  • Proven ability in managing multiple priorities and projects.

  • Well-organized, and detail-oriented with great follow-up skills.

  • Reliable team member, with a strong ethic in regards to information confidentiality.

  • Autonomous, you have a proactive attitude and you like to make things move forward.

  • Proficient with Productivity tools (ex: Office/Google Suite; DocuSign).


  • A first experience in a similar role or in a start-up environment (ideally in an international and multi-local company)

  • You have already completed the Training Person of Trust - or you are willing to follow it asap.

Our recruitment process

  • A video interview with the manager to deep dive into your past experience and learn more about your aspirations.
  • The Assessment part, to test your skills related to the position.
  • Final call with a C-level or the CEO.
